Refund Policy

REFUND POLICY

Michael Porterfield Media is committed to delivering high-quality video production, photography, and social media services. This Refund Policy outlines the terms under which refunds may be issued.
1. Deposits and Retainers
All projects require a non-refundable deposit or retainer to secure your booking and begin work. This deposit covers:

Initial project planning and consultation
Calendar blocking and scheduling
Pre-production work and preparation
Administrative costs

Deposits are non-refundable once work has commenced, regardless of project cancellation.
2. Project Cancellations
By Client:

Cancellations made more than 14 days before the scheduled date: Deposit is forfeited, no additional charges
Cancellations made 7-14 days before scheduled date: 50% of total project cost is due
Cancellations made less than 7 days before scheduled date: 100% of total project cost is due
Same-day cancellations or no-shows: 100% of total project cost is due, no refunds

By Michael Porterfield Media:

If we must cancel due to unforeseen circumstances (illness, emergency, equipment failure), you will receive a full refund of all payments made, or the option to reschedule at no additional cost

3. Completed Work
Once final deliverables have been provided and approved by the client, all sales are final. No refunds will be issued for:

Completed photo or video deliverables
Edited content that has been delivered
Services that have been fully rendered
Digital files that have been transferred to the client

4. Revisions and Edits
Each project includes a specified number of revision rounds as outlined in your project agreement or contract. Additional revision requests beyond the agreed scope may incur additional fees and are not eligible for refunds.
If you are unsatisfied with the work during the revision phase, we will work with you to address concerns within the scope of the original agreement. Refunds are not provided in lieu of revisions.
5. Weather and Location Issues
For outdoor shoots or events affected by weather:

Rescheduling is the preferred solution (no additional charge for one reschedule)
If rescheduling is not possible due to client availability, deposit is forfeited
If Michael Porterfield Media determines conditions are unsafe or unsuitable for quality work, full rescheduling or refund will be offered

6. Technical Issues
In the rare event of catastrophic equipment failure, data loss, or technical issues that prevent delivery of your project:

We will make every reasonable effort to recover, reshoot, or remedy the situation
If delivery is impossible, a full refund of all payments will be issued
We maintain backup systems and insurance to minimize this risk

7. Client Responsibilities
Refunds will not be issued if project delays or cancellations result from:

Client failure to provide necessary materials, information, or access
Client unavailability for scheduled shoots or meetings
Client-side technical issues preventing file delivery or communication
Scope changes requested by client that alter timeline or deliverables

8. Partial Refunds
Partial refunds may be considered on a case-by-case basis if:

Work was started but not completed due to mutual agreement to terminate the project
Only a portion of the agreed deliverables were provided
There was a significant failure to meet the terms of the original agreement

Partial refund amounts will be calculated based on work completed, time invested, and expenses incurred.
9. Rush Fees and Expedited Services
Rush fees for expedited delivery are non-refundable once work has been prioritized and begun. If we are unable to meet the expedited timeline, rush fees will be refunded but standard project fees apply.
10. Travel and Expenses
For projects requiring travel:

Non-refundable travel expenses (flights, hotels, rental cars) booked on your behalf are your responsibility even if the project is cancelled
Mileage and local travel fees are refundable only if cancellation occurs more than 14 days in advance

11. Subscription or Retainer Services
For ongoing monthly retainer or subscription services:

30 days written notice required for cancellation
No refunds for partial months
Unused hours or services do not roll over unless specified in agreement
Cancellation takes effect at the end of the current billing period

12. Disputes
If you are unsatisfied with the services provided, please contact us immediately to discuss your concerns. We will work in good faith to resolve any issues before refund requests are considered.

13. Processing Time
Approved refunds will be processed within 14 business days and returned to the original payment method. Please allow 5-10 business days for the refund to appear in your account depending on your financial institution.
14. Agreement
By booking services with Michael Porterfield Media, you acknowledge that you have read, understood, and agree to this Refund Policy.
